Purpose and Application
This AI Policy describes how Harvest Media (Harvest, we, us, our) uses third party tools, including artificial intelligence and machine‑learning technologies in the operation of its software and services (the Services).
This AI Policy forms part of, and is incorporated by reference into, the SaaS agreement between Harvest and each Subscriber and/or the Terms of Use (as applicable). By accessing or using the Services (as defined in the SaaS Agreement or the Terms of Use), you agree to this AI Policy, as updated from time to time.
References in this AI Policy
This AI Policy applies to the use of our Services by all users (you or your), including users who access the Services under a SaaS agreement entered into between Harvest and an organisation, and users who access the Services under Harvest’s Terms of Use. For the purposes of this AI Policy, Your Data means:
- Subscriber Data and Subscriber Catalogue, where the Services are accessed under a SaaS agreement; and
- Your Content, where the Services are accessed under the Terms of Use.
Guiding Principles
Harvest’s use of AI within the Services is guided by the following principles.
- AI as an enhancement, not a replacement. We utilise AI to make our Services smarter, faster and more intuitive – enhancing our Services, while preserving meaningful human control.
- Purpose-driven deployment. AI capabilities are introduced with clear product intent: to improve functionality, streamline processes, and deliver measurable value to our users.
- Transparency. As this AI Policy reflects, we are open about our use of AI within the Services and the principles that govern it, so Subscribers understand how AI supports and enhances the platform
Use of AI in the Services
In providing the Services, Harvest may use proprietary systems and third‑party systems, infrastructure, and tools, including artificial intelligence and machine‑learning technologies (AI Tools).
Subject to, and in reliance on, the rights granted under the SaaS agreement and/or the terms of use (as applicable), these AI Tools may apply computational techniques to Your Data for the purposes of operating and providing the Services, including to store, analyse, transform, organise, index, classify, retrieve, convert, or generate information, insights, or outputs from Your Data.
This processing may include, without limitation:
- creating embeddings or other derived representations from Your Data;
- storing such embeddings or representations in vector databases or other indexes; and
- using them within the Services for retrieval‑augmented generation (RAG), similarity search, matching, ranking, clustering, deduplication, classification, and recommendation functionality.
Derived representations
Any derived representations generated from Your Data, including embeddings and indexes:
- remain part of Your Data; and
- are subject to the same rights and protections as Your Data is under the SaaS agreement or terms of use (as applicable).
Generative AI and Model Training
Unless you agree in writing, Harvest will not:
- use Your Data to train, fine‑tune, or otherwise improve any public or open‑source artificial intelligence model
- permit any third party (including any AI Tool provider) to Your Data to train, fine‑tune, or otherwise improve that third party’s general‑purpose artificial intelligence models.
For clarity, this restriction does not prevent Harvest from using de‑identified and aggregated usage data as is permitted in the SaaS agreement and/or terms of use (as applicable).
Accuracy and reliance on outputs
Information, metadata, categorisation, recommendations, rankings, or other outputs generated through AI Tools are produced through automated processing and may not be complete, accurate, or fit for a particular purpose.
You are responsible for reviewing, validating, and verifying outputs generated by AI Tools before relying on or using them. Harvest does not guarantee the accuracy or suitability of such outputs.
Without limiting the above, Harvest uses reasonable care in configuring and operating the Services in accordance with the SaaS agreement and/or terms of use (as applicable).
Updates to this AI Policy
Harvest may update this AI Policy from time to time to reflect changes in technology, regulatory requirements, or the functionality of the Services. The current version will be published on Harvest’s website and the date it was last updated will be set out at above. It is your responsibility to ensure you’re considering the latest version.
